Retention Policy: How long is mail stored in the portal?

Before you start, you will need:

  • An active MyRelayHQ  account.

  • Received mail or documents currently visible in your Mailroom.




Step-by-Step Instructions:

  1. Log in to your MyRelayHQ  dashboard.

  2. Navigate to the Mail tab.

  3. Look for the date "Received" in the column next to your scanned items.

  4. To check the specific expiration date for physical mail, click on the Details or Settings icon for a specific mail item.




What to Expect: The portal maintains two different retention timelines based on the document type:

  • Physical Mail: Most standard physical mail is held at our facility for 14 days after scanning. If no request for physical forwarding is made within this window, the mail is securely shredded.

  • Digital Scans: Digital copies of your mail typically remain accessible in your portal for the duration of your active subscription.

  • Legal Documents (SOP): Service of Process scans are often stored indefinitely or for a minimum of 7 years to ensure compliance with state record-keeping requirements.

This is expected behavior for document management services, not a guarantee that files will remain accessible if an account is closed or falls into a delinquent payment status.
